Claysole Seller Compliance & Standards – Code of Conduct

We are committed to building a professional, trustworthy, and legally compliant cultural marketplace. We partner with sellers who operate responsibly, meet high standards of business integrity, and share our values of ethical conduct, sustainability, and exceptional customer service.

This Seller Code of Conduct outlines the expectations and requirements for selling on Claysole. All vendors must comply with these standards. Violations may result in product removal, account suspension, or termination of your seller privileges.


1. Transparency & Accuracy in Product Representation

To build trust with customers, sellers must ensure that all product listings are honest, accurate, and clearly presented.

Material Accuracy

  • All materials and product compositions must be truthfully disclosed.

  • Misrepresenting materials (e.g., advertising plastic as “wood”) is strictly prohibited.

Country of Origin

  • Sellers must accurately identify where a product is manufactured, assembled, or sourced.

  • Misstating the country of origin to mislead buyers or bypass trade regulations is a serious offense.

Audits & Documentation

  • Claysole reserves the right to conduct audits at any time.

  • Sellers must provide documentation such as:

    • Certificates of authenticity

    • Product safety certifications

    • Material test reports

    • Proof of origin

  • Claims such as “organic,” “non-toxic,” or “eco-friendly” must be supported by valid documentation upon request.

Listing Accuracy

  • Product descriptions, specifications, dimensions, and features must be correct.

  • Images must accurately reflect the item being sold.

  • Lifestyle or editorial photos are welcome, but they must not mislead buyers about size, quantity, or function.


2. Order Fulfillment & Customer Service Standards

Sellers are expected to uphold professional standards in both logistics and communication.

Customer Communication

  • Sellers may not redirect customers to complete purchases outside of Claysole.

  • Sharing personal contact information (phone, email, website, address) through Claysole's messaging system is prohibited.

  • Sellers must respond to all customer inquiries within 48 hours.

  • All communication must be respectful, professional, and solution-focused.

  • Disputes should be resolved through options like refunds, replacements, or exchanges. If necessary, Claysole may step in to mediate and issue a final resolution.

Shipping Timeliness

  • Orders must be shipped within the stated processing time.

  • Any delays must be communicated to the customer immediately, with updated delivery estimates.

  • Frequent delays may result in penalties, including account suspension.

Packaging Standards

  • Products must be securely packaged to prevent damage.

  • Fragile and high-value items must include protective materials (e.g., bubble wrap, foam, sturdy boxes).

  • Packaging must be clean, professional, and presentable—damaged or unsanitary materials are not allowed.

Tracking Requirements

  • All shipments must include valid tracking (unless the method does not support it, in which case this must be disclosed).

  • Tracking numbers must be updated in the Claysole system immediately after shipping.


3. Ethical Business Practices & Prohibited Conduct

Deceptive Pricing

  • Artificially inflating prices before offering a “discount” is not permitted.

  • All pricing must reflect fair market value.

Duplicate Listings

  • Duplicate listings to manipulate visibility are prohibited.

  • Variants of the same product (e.g., sizes or colors) must be listed under one listing with variations enabled.

Manipulation of Reviews

  • Sellers may not:

    • Request or purchase fake reviews

    • Offer gifts, discounts, or money in exchange for positive feedback

  • Reviews must be genuine and reflect actual customer experiences.

Redirecting Customers

  • All orders and payments must remain on the Claysole platform.

  • Sellers are not permitted to encourage buyers to transact off-platform.

Professional Conduct

  • Sellers must treat all users respectfully.

  • Harassment, discrimination, or use of offensive language is strictly forbidden.

Prohibited & Counterfeit Goods

  • The sale of counterfeit, stolen, or illegal products is strictly prohibited.

  • Sellers must verify and provide proof of authenticity for brand-name items upon request.

  • Claysole does not allow:

    • Replicas or fake brand items

    • Stolen goods

    • Drugs or any prohibited materials


4. Legal Compliance & Ethical Sourcing

Sellers are expected to operate with integrity, transparency, and social responsibility.

Legal Compliance

  • Products must comply with all applicable consumer protection, labeling, and safety laws in the regions where they are sold.

Ethical Sourcing

  • Child labor, forced labor, and exploitative labor practices are not tolerated.

  • Sustainability claims (e.g., “eco-friendly,” “zero waste”) must be substantiated with verifiable certifications.

Safety & Labeling

  • Products requiring safety warnings (toys, electronics, cosmetics, etc.) must be properly labeled and certified.

  • Claysole may request documentation at any time to verify compliance.


5. Seller Accounts & Operations

Single Seller Account

  • Sellers may not operate multiple accounts unless approved by Claysole.

  • Each product may only be listed once unless approved variations apply.

Permitted exceptions may include:

  • Distinct legal entities operating under licensing agreements

  • Separate teams managing different product categories or countries

Claysole reserves the right to merge or remove duplicate listings at its discretion.

Business Information

  • Sellers must maintain accurate and up-to-date business information at all times.

Licensing Requirements

  • Sellers must comply with applicable licensing and tax requirements based on their local jurisdiction.


6. Fees, Payments, & Financial Policies

Fees

  • Sellers are responsible for any applicable listing, transaction, or optional premium service fees.

Payment Processing

  • Sellers must keep payout details up to date to ensure timely payments.

  • Payouts are processed via the method selected in the seller’s dashboard.


7. Enforcement & Consequences of Violations

Claysole reserves the right to take enforcement action in the event of non-compliance:

  • First-time or minor issues: Formal warning

  • Repeated violations: Listing removal

  • Significant or ongoing issues: Temporary account suspension

  • Severe violations (e.g., fraud, counterfeit): Permanent account ban


8. Audits, Reaffirmation & Ongoing Compliance

  • Claysole may conduct audits—scheduled or unannounced—directly or through a third party.

  • Sellers must maintain accurate records (e.g., certificates, chain of custody, business documentation) and provide them within 48 hours upon request.

  • If non-compliance is found, the seller must submit a Corrective Action Plan and execute it immediately.

  • Additional audits may be performed to confirm full remediation.

  • Sellers may be required to periodically reaffirm their compliance and all submitted documentation.

Claysole reserves the right to modify these policies at any time to uphold marketplace integrity.
